There are two distinct ways to enroll students into an administration in ADAM: class-based and eligibility-based. This article explains the differences in enrollment and the differences in testing experience.
Important: Both methods require that the test taker exists as a user in ADAM with a student role. The exception is when "Allow Late Add" is enabled; then a proctor can add a test taker on the fly into the proctor group, which adds the student to ADAM and rosters them into the administration at the same time.

Class-Based Administrations
There are two ways to schedule a class-based administration: Classes and District/Grade. Students must be in a class to be enrolled in a class-based administration. When you set the criteria, you are choosing class criteria, not student criteria.
This means that if the student criteria are set to bring in all 5th graders from all the districts in the state, and if a student is in two 5th grade classes, the enrollment load will fail because ADAM would try to add the student into the administration two times: once for each 5th grade class they are in.
The student cards for class-based administrations include the administration name, student's log in credentials and the test code for getting into this specific proctor group.
Classes
When this option is chosen, the criteria for finding eligible classes are based on:
- School - find all classes associated with a school. Classes are required to be associated with a school.
- Course - find all classes associated with one or more courses. Classes are required to be associated with a course.
- Academic Session - find all classes associated with the selected school and an academic session. Classes are required to be associated with an academic session.
- Classes - find all classes associated with the selected school, academic session and one or more classes.
Students enrolled in a class meeting the criteria are added into the administration. A proctor group is created for each eligible class, and student sessions are added to those proctor groups. Students can move in and out of the administration based on enrollment in an eligible class. Movement is allowed until the student starts the test session.
Once you define the criteria on the administration, it cannot be changed.
- If you specify a list of eligible classes, you can make students eligible for the administration by moving students in and out of those classes...but you cannot add new eligible classes.
- If you specify a list of eligible courses (but do not specify classes), you can make students eligible for the administration by create new classes linked to the eligible courses and move students in and out of those classes...but you cannot add new eligible courses.
You can also manually create proctor groups as an alternative to the default class proctor groups. Proctors share the proctor group specific test code with their students who log into the test.
District/Grade
When this option is chosen, the criteria for finding eligible classes are based on:
- Grade - find all classes associated with a specific grade (this is the grade on the class, not the grade on the student)
- Course - find all classes associated with one or more courses. Classes are required to be associated with a course.
- Districts - find all classes associated with the selected grade and one or more districts. Classes are required to be associated with a school and a school is required to be associated with a district.
Students enrolled in a class meeting the criteria are added into the administration. A proctor group is created for each eligible class and student sessions are added to those proctor groups. Students can move in and out of the administration based on enrollment in an eligible class. Movement is allowed until the student starts the test session.
Once you define the criteria on the administration, it cannot be changed.
- If you specify an eligible class grade, you can make students eligible for the administration by moving students in and out of those classes set with that grade value...but you cannot modify the eligible grade on the administration.
- If you specify a list of eligible courses, you can make students eligible for the administration by create new classes linked to the eligible courses and move students in and out of those classes...but you cannot add new eligible courses.
You can also manually create proctor groups as an alternative to the default class proctor groups. Proctors share the proctor group specific test code with their students who log into the test.
Eligibility Based Administrations
Eligibility-based administrations allow ADAM users with a student role to be rostered with or without being enrolled in a class. When you set the criteria, you are choosing student criteria.
After creating an eligibility administration, proctors can simply sign in to create their proctor group on the fly and give students their test code on the day of testing. School admins can also pre-create proctor groups before testing if they wish to.
If you pre-create proctor groups, the Test Cards will contain the students' login credentials and the test code. If you don't pre-create proctor groups, Test Cards will contain student login credentials but not the test code. Students will receive the test code from the proctor.

The criteria for finding the eligible student are:
- Grades – find all students associated with a grade.
- Courses – find all students associated with a course.
- Organizations – find all students associated with the selected grade and one or more organizations. The organization can be at any organization level (based on your authority). Students are required to be associated with a school, schools with a district, districts with a state and state with national.
- Assignment Tags – Find all students associated with the assignment tag, such as Algebra1. Assignment tags are defined in the student record and make it easier to create out-of-level administrations.
A single proctor group is created for this administration. It is named "unassigned." Student sessions are not linked to a proctor/class specific proctor group in advance of the student logging in to take this administration.
Proctors are provided with the "unassigned" test code and proctor password. This test code and proctor password are used only by the proctor to create a proctor group for their test session. When the proctor logs into the Proctor Dashboard, they are asked to create a proctor group. Once that short form is complete:
- An email is sent to the proctor containing information about their proctor group (student test code and proctor password).
- The proctor dashboard opens.
- The student test code is displayed on the proctor dashboard.
- The proctor gives the student test code to the students as part of the student log in process (the test code is not included on the student test cards).
As the students sign in to the administration, they are added into the proctor group and displayed in the proctor dashboard. Proctor groups are not displayed in ADAM until the first student logs in to take the test. Until then, the proctor is the only person seeing the proctor group.
Note: If the administration requires Proctor Approval, the proctor will be notified through the proctor dashboard that a student is trying to log into the test. The proctor needs to approve this action.
